SUMMARY:
Under the general direction of the Director of Membership, the Membership Data Coordinator supports the Zoo’s membership program and serves the Zoo’s members through coordinating, processing, updating, and evaluating all facets of the Zoo’s member data.

SUMMARY:
Under the general direction of the Director of Membership, the Membership Data Coordinator supports the Zoo’s membership program and serves the Zoo’s members through coordinating, processing, updating, and evaluating all facets of the Zoo’s member data.
ESSENTIAL DUTIES:
Membership Duties:
- Collaborates with the Director of Membership and the Membership Team to design, develop, revise, coordinate, implement, and evaluate all aspects of the membership program data
- Oversees the processing of memberships sold, transferring data, data entry, etc.
- Oversees accuracy of membership data entry, including training, reference sheets, and corrections
- Assists with membership communications as needed
- Handles public and in-house inquiries concerning Membership policies
- Coordinates with Advancement regarding matching gifts received with membership purchases
- Monitors and performs ongoing data clean-up, including correction forms, duplicate records, and regular data audits
- Collaborates with the Director of Membership on the creation, development, and implementation of new member technology features
- Coordinates with Zoo’s IT contractor, 3rd party vendors, and relevant Zoo colleagues as needed to maintain and update membership data across all related platforms – CRM, POS, website, etc.
- Supports Director of Membership and Membership Engagement Coordinator with communications and benefit fulfillment for Circle of Care level memberships; collaborates with Advancement Department as needed
- Attends local Membership Roundtables and other professional development opportunities as warranted
- Develops and maintains Member data manuals, with input from relevant teams
- Monitors and tracks changes to membership data platforms
- Oversees upload of data to digital card platform and physical card printing and preparation for distribution
- Stays current and knowledgeable on AZA, the Santa Barbara Zoo’s mission, collection, history, programs, projects, and practices
- Contributes to the Membership Department's annual planning and budgeting process
- Supports Director of Membership with other projects as assigned
- Adheres to the Zoo’s policies and procedures as outlined in the Employee Policy Manual
- Applies and exemplifies “green” (sustainable) practices whenever possible
SECONDARY DUTIES:
- Assists with other Membership Department functions as necessary
- Participates in special team assignments as appropriate
- Performs other duties as assigned by management
Guest Relations:
- Greets every guest with a smile
- Thanks guests for supporting/visiting the Zoo
- Answers phone calls, voice mails, and e-mails promptly
- Ensures the Zoo’s presentation standards for cleanliness and maintenance are met by keeping work areas clean, picking up trash, reporting unsafe or unsightly conditions
- Associates with guests to assist and share information
- Responds to all guest inquiries, complaints, and comments according to Zoo guest relations procedures
- Maintains a clean neat appearance and adheres to the Zoo’s uniform dress code
- Takes responsibility for staying informed about happenings at the Zoo, such as reading employee communications and attending meetings
- Reflects the qualities outlined in the Guest Relations Statement, the Zoo’s Core Values, and the Employee Pledge
- Applies and exemplifies “green” (sustainable) practices whenever possible
- Other miscellaneous duties as required
POSITION CRITERIA:

Education & Experience:
Education & Experience:
- Minimum 18 years of age
- Some college coursework preferred
- Prior experience in a professional office environment, or with administrative functions
- Prior experience in customer service or related fields, working directly with the public
- Experience working with a donor/member database or equivalent
- Experience setting up database fields, creating digital reports, and data processing is preferred
Knowledge, Skills, & Abilities:
- Ability to use communication and organizational skills to coordinate, advise, oversee, and train others to accomplish goals
- Ability to make decisions and solve problems
- Ability to communicate effectively with supervisor, colleagues, and guests
- Ability to organize, plan, and prioritize work
- Ability to follow oral and written directions
- Strong attention to detail
- Data entry with accuracy and word processing skills
- Effective oral and written communication skills
- Computer literate (Microsoft Word, Excel), knowledge of Raiser’s Edge or equivalent preferable
- Capacity to develop friendly and productive relationships at work
- Ability to work effectively in a shared open space environment, with very frequent interruptions
- Ability to use active listening and critical thinking, with social perceptiveness
- Ability to interact courteously and respectfully with supervisors, fellow colleagues, volunteers, and our guests
- Ability to exercise safe work habits
- Must maintain confidentiality of work-related information and materials pertaining to members
Physical Demands & Work Environment:
- Requires the ability to access all areas of the facility
- Ability to spend extended periods of time working on a computer
- Must be able to climb stairs, manipulate computer tools, stand/walk for up to two continuous hours
- Ability to lift at least 30 pounds in the course of normal duties
- Occasionally involves working out-of-doors in all weather conditions
